Set up an Account Tracking Job

First, tell us which Accounts you'd like to track
You'll be creating a dynamic report of the Accounts that you'd like to track. Account Tracking will then run this report at a configurable timeframe of your choosing such as monthly or weekly to generate a list of contacts who have joined or had a title change (role change) within the Accounts in your report.
Please follow these steps to set up your Account Tracking job.
1. Create a Salesforce dynamic report with the following columns
- Record ID
- Account Name
- Website
There is a limit of 1000 accounts that Account Tracking can process per job. Please ensure that your report contains a maximum of 1000 accounts.
Please follow these guidelines to ensure that your reports are optimized and do not run into performance issues and timeouts.
2. Ensure that the input fields you are using in the Report are mapped correctly
Track provides the following UI to choose which fields in your Account object to map to LeadIQ.
With this mapping, LeadIQ reads the values in these fields to then apply our matching logic to match to the Account data on our LeadIQ side.
3. Add a new Account Tracking Report
- Open the report that you would like to use as your source report for Account Tracking
- Copy the URL of that report
- Click the Track tab
- On the left-hand side, click Account Tracking tab
- Click + Create New Job
- Paste the report URL into the Report URL field
- Set the desired Frequency, Start Date, and Time
- Run job for the past - The Account Tracking job will return contacts that joined or had a title change at each account within the specified period defined in this field. E.g., Selecting '3 months' will return contacts who joined or had a role change within each account within the last 3 months.
- Set the Maximum number of contacts returned per account value to signify how many contacts per account you'd like returned by the Account Tracking job. The max can go up to 1000 contacts per account. If you do not specify a value here, the default value of 100 contacts per account will be used.
- Data Hub customers, depending on their plan, have the option to specify their contact data preferences i.e., indicate whether Emails only, Phones only or Emails and Phones are part of the returned results.
- [Optional] Select your desired ICP/Personas that you'd like the results to be aligned with. Clicking on the search bar will display the list of ICP/Personas set up on the web app. If no ICP/Persona(s) is selected, all defined ICP/Personas will be considered in scope for this job run.
Prequisite: These ICP/Personas must be set up on the LeadIQ web app prior to setting up this job.
Note: When applying the ICP/Persona in Account Tracking it will apply ALL fields defined at Company (ICP) and Person (Persona) level. So for example, if you have specified "Technology" as Industry in the ICP filter, that will filter out any Account Tracking results that are not "Technology", including submitted Account in the Report.
If you want all results returned back for Persons regardless of ICP definition, ensure to leave these as-is (e.g., "Any") in your ICP/Persona definition.
4. LeadIQ will process and deliver results asynchronously
Once the results are ready, you will receive an email and in-app notification.
You can find the results in one of two ways:
- Find and click IQ Tracking in the Salesforce App Launcher
- Click on the number in the Results column for the desired report on the Account Tracking tab
You will see the results in the form of contacts that joined or had a title change within each account in your list. For each contact found to have met this criteria, a new custom object called IQ Contact Tracking object will be added to your Salesforce.
4. Now, operationalize the data
- The goal is not for your end users to use or interact with these IQ Tracking records individually. These are just the raw output of Account Tracking.
- LeadIQ ships a default Lightning Flows included with the package which are deactivated by default. You can find these under Setup > Flows. It is named "IQ Tracking Automation".
- These are record-triggered flows that run whenever an IQ Tracking record is created. You can use these default Flows as jumping-off points and modify them to meet your specific needs.
5. Set up Email Notifications
These notifications will provide Sales Reps (Record Owner for Contact, Lead, Account in Salesforce) with top results directly in their inboxes, making it easier to stay informed and act quickly. They now have a better channel to view their results instead of logging into Salesforce and reviewing the results of each run.
Each email notification summarizes net new updates found since the last notification was sent to record owners.
