Overview
This feature allows users to configure email notifications for Contacts, Leads, and Accounts whenever Contact Tracking OR Account Tracking updates are made to their records.
These notifications will provide Sales Reps with top results directly in their inboxes, making it easier to stay informed and act quickly. They now have a better channel to view their results instead of logging into Salesforce and reviewing the results of each run.
Each email notification summarizes net new updates found since the last notification was sent to record owners.
This feature was introduced with v1.76 of the LeadIQ Salesforce Package, and improvements were made as part of v1.81.
Who can configure notifications?
Salesforce users who have been added to the LeadIQ Admin User Permission Set are authorized to configure these owner notifications.
Notifications Set-Up Process
1. Login to the LeadIQ App within Salesforce --> Click on Track tab --> Click on Notifications
2.Click '+ Create Notification' to create a new notification. Here, you will be able to set the following:
- Name of the notification
- Object i.e., Account, Contact, or Lead for which you want the notification set up
- Notification Type i.e., Email or Slack
Note that in order to integrate Slack you must go to the "Configure Slack" menu item in Track, and connect Track to your Slack instance. This will install a Slack application in your Slack instance.
Frequency and Time fields to define how often you'd like these notifications to be sent and the specific time of day you'd like to initiate them. Each email notification summarizes net new updates found since the last notification was sent
A few things to note:
- Default Frequency is set to Weekly
- Default Time is set to 8:00 am
- Time field uses the timezone of the Salesforce user setting up notifications
- To i.e., the Salesforce field identifying the Owner of the record who will be the primary recipient of this notification (Slack or Email).
4. (Email Only) In addition to the primary recipient, notifications can also be sent to other members of the organization using the CC and BCC fields. Both of these fields accept comma separated email addresses.
5. (Email Only) Email Subject and Email Body are both customizable and mandatory for the notifications to be successfully set up. We provide a default subject line and body but users can customize it to suit their needs. Slack notifications will only show a Slack Message template.
To the right of the email body, there are a list of tags with descriptions in the information icons. Users may click these tags to add into the email body for customization.
6. A Preview is available to help users visualize what their final notifications will look.
7. At this point, users may click Save to configure the notification with their desired settings.
If any mandatory fields are missing, the user will encounter an error highlighting fields that need to be addressed prior to saving.
8. Here is an example Email users can expect to receive. The final email is based on customizations made by the user on the Email Subject and Email Body.
A few things to note:
- Record Link(s) and Past Record Link(s) directs users to the record where the owner and other data points are viewable.
- For each category (i.e., Job Changes, Title Changes, Departures) the summary table only shows up to 10 records due to limited space.
- To see the entire set of changes found per category, please use the report links added to the bottom of each table.
